Privacy Policy

Timepins is designed to use as little personal data as possible. Contributions are never linked to a name or email address — anonymous contribution is the default.

What we collect

Photos uploaded to a Timepin
With the mail fallback: the sender's email address — solely for the confirmation email and opt-out, automatically deleted after 7 days
Optionally and separately from a contribution: an email address for subscription to project updates or the newsletter
With webapp contributions: the location of the device at the time of upload, solely for the location check. The coordinates are stored as part of the contribution, but never linked to a name, email address or user account.

Consent for publication

In the webapp the contributor gives consent via a mandatory consent checkbox. Without this checkbox a photo cannot be submitted. The text reads: "I have read the terms and agree to publication of this photo as part of the public timeline of [project name]."

With the mail fallback, sending the email constitutes the moment of consent.

Mail fallback: email and opt-out

When contributing via the mail fallback the sender's email address is always available. The contributor immediately receives a confirmation email containing:

confirmation that the contribution will be added to the timeline of [project name]
the statement that the contribution will not be linked to a name or email address
a brief summary of the terms (CC BY-NC 4.0, public publication)
the option to object within 7 days via [email protected], after which the photo will be removed
the statement that the email address will be automatically deleted after 7 days

After 7 days without objection the contribution becomes a permanent part of the timeline and the email address is deleted. Withdrawal of consent after that period is still possible, but does not affect the licence already granted.

Newsletter and project updates

Those who sign up for project updates via the thank-you screen or the project page give explicit consent for this. This is entirely separate from a contribution. Unsubscribing is possible at any time via an unsubscribe link or on request. Email addresses are not sold or shared with third parties.

What we do not do

We do not create anonymous user profiles of users or contributors
We do not link contributions to a name or email address
We do not track individual behaviour
We do not sell or share personal data with third parties
We do not use photos for standalone commercial resale

Initiators and owners

Initiators who purchase a Timepin have an account with Timepins. In that context the following data is processed:

account details (email address, password)
profile details (name, description, website)
billing details (name, address, VAT number)
payment details via Stripe (payment processor)

This data is processed on the basis of the performance of the agreement between the initiator and Timepins. It is retained for as long as the relationship is active and thereafter for a maximum of 7 years in connection with statutory fiscal retention obligations.

Payment details are processed by Stripe Inc. Stripe acts as an independent data controller for payment transactions. See stripe.com/privacy for Stripe's privacy policy.

Initiators do not have access to personal data of contributors to their Timepin.

Public visibility

Photos uploaded via Timepins are publicly visible as part of a project. Only upload images that you have taken yourself and that you understand will be displayed publicly.

Retention periods

Photos remain part of the timeline for as long as the Timepin is active. Email addresses from mail fallback contributions are automatically deleted after 7 days. Email addresses for project updates are retained for as long as the subscription is active.

Responsibility and legal basis

Timepins acts as the data controller. Initiators do not have access to personal data of contributors.

Email addresses are processed on the basis of consent. Photos are published on the basis of the legitimate interest of Timepins in realising a consistent, publicly accessible timeline, in combination with the explicit consent given via the consent checkbox or the mail fallback. Location data from webapp contributions is processed on the basis of legitimate interest — safeguarding the quality and consistency of the timeline.

Removal or adjustment

In reasonable cases a contribution can be adjusted or removed, for example in the case of privacy-sensitive content. The presence of persons in a public space is not in itself a reason for removal. Only when someone is clearly recognisable and centrally in frame in a way that could harm their personal privacy can moderation take place.

Contributions that comply with the guidelines are in principle not removed if doing so would affect the continuity of the timeline.

Questions and rights

Under the GDPR you have the right of access, rectification and erasure of your personal data, as well as the right to withdraw consent previously given.

Please contact us via [email protected], stating the project and, where applicable, the date of the photo. You also have the right to lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).

Applicable law

This privacy policy is governed by Dutch law. Disputes are submitted to the competent court in the district of Gelderland, unless mandatory law prescribes a different court.
